Our Toronto Location:
Amidst the timeless charm of Toronto’s Fashion District, AIRE finds its home in a historic Edwardian Classicism building, once the office and warehouse of the Copp Clark publishing company. Built in 1912 and later designated a heritage site, its original wood structure and towering pillars remain, preserving the character of its storied past that once held the art of printing and now embraces the art of relaxation.
Honoring its literary and industrial past, the space is adorned with vintage books, printing presses which are subtle echoes of its history. AIRE Toronto offers a unique experience with a dry sauna and a Palestra, an indoor/outdoor bath area seamlessly connected to the interior through two jet baths, creating a tranquil escape where past and present merge in perfect harmony.
The Role:
The People Administrator (North America) ensures that core People & Culture administrative processes are executed accurately, on time, and in full compliance across the US and Canada. This role is responsible for processing People & Culture transactions, maintaining high-quality employee data in Workday, and supporting People Business Partners and managers with reliable and timely administration.
Key Responsibilities:
Employee Lifecycle Administration
Process employee lifecycle transactions (hires, changes, leaves, exits) across North America in Workday and local systems.
Manage all administrative steps of onboarding and offboarding.
Maintain accurate and up‑to‑date employee records in the US and Canada.
Coordinate workforce changes with PBP and managers to ensure timely payroll submissions.
Support recurring People & Culture processes such as policy acknowledgements, leave checks, contract renewals, and probation tracking.
Propose automation opportunities to reduce manual work.
Contribute to the implementation of new time-tracking and payroll systems.
Workday Data Management
Ensure accuracy, completeness, and proper structure of all North America employee master data.
Process P&C transactions in Workday and ensure proper downstream impact.
Conduct regular data audits and resolve discrepancies.
Serve as the primary contact for the HRIS Specialist for Workday data and configuration issues.
Manager & People Business Partner Support
Act as the first point of contact for People & Culture administrative requests.
Support managers with documentation needs (contracts, letters, employment verification, references, etc.).
Coordinate payroll inputs with Payroll and the external provider.
Provide administrative support during salary reviews, performance cycles, and surveys.
Compliance & Documentation
Ensure P&C processes comply with employment laws in the US and Canada.
Maintain organized, complete, and audit‑ready employee files.
Support audits, inspections, or claims by providing accurate documentation.
Maintain and update P&C administrative procedures.
Systems & Continuous Improvement
Identify process inefficiencies and recommend improvements.
Support implementation of process and system enhancements.
Participate in testing changes impacting P&C processes.
Who You Are:
Bachelor’s degree or diploma in HR, Labour Relations, Business Administration, or related field.
1–3 years of People & Culture administrative or coordinator experience in a multi-site or multi-country environment.
Working knowledge of employment documentation and core People & Culture compliance requirements across the US and Canada.
Experience with HRIS systems (Workday preferred).
Strong attention to detail; organized and process‑oriented.
Solid understanding of data privacy.
English required; Spanish or French is an asset.
